From the first phone call to the final report, a Padgett project manager owns every moving part of your voting — so you can keep your attention on the meeting itself.
Before we recommend anything, we learn the meeting
Every meeting is different, so we don’t hand you a template. We start with a conversation about what you’re actually running — the objectives, the rules, the room, the clock.
We’ll talk through:
- What kind of meeting or event it is
- How votes need to be counted
- What counts as a quorum or a passing margin
- How the agenda is structured
- The venue and the audience size
- The timeline and the key moments
That conversation is what lets us build a setup around your meeting instead of forcing your meeting into a box.
Configured and tested before it ever ships
Once we know what the meeting needs, we design the deployment and build it out in advance — so what shows up at your venue is already configured and confirmed working, not a box of parts to sort out on-site.
That includes:
- Voting formats and rules
- How many keypads and receivers, and where they go
- Any tie-in to registration or credentialing
- Coordination with your venue and AV teams
- A contingency plan for the things that go sideways at live events
- Programming, labeling, and bench-testing every device
By the time the equipment leaves us, it has already been run through its paces.
Proven in the real space, before anyone walks in
Our team arrives ahead of time to place receivers for full coverage, stage the devices, coordinate with your AV crew, and run the entire system inside the real room. Testing in the actual venue — not a warehouse — is how we catch the quirks of your specific space before a single attendee sits down.
A Padgett project manager at the controls
During the event, a Padgett project manager runs the system from the control table — handing out and collecting devices, watching transmission, helping participants, and coordinating with whoever’s running the meeting. Votes are captured and tallied in real time and shown however your procedures call for. If something needs to change mid-session, it changes, and the room never feels it.
Documentation you can rely on
After the event, we compile the results and hand them over in whatever form you need:
- Vote summaries
- Detailed reports
- Participation data
- Electronic records for your official documentation
And we stay reachable if questions come up later.
Optional TalkTrack™ integration
For meetings with open floor discussion, our TalkTrack™ system can be added to manage the speaker queue — keeping recognition orderly and on the record alongside the voting.
A Process Built to Take the Stress Off You
A big meeting has a hundred moving parts. Our job is to make the voting and participation pieces run so smoothly you barely think about them — so you can focus on your agenda and the people in the room.
