Voting System Rental for Meetings and Conferences
Rent a complete voting system and a technician who runs it, so every motion, election, and poll on your agenda is counted cleanly in the room.

A voting system rental should do more than hand you hardware. When you rent a voting system from Padgett Communications, a trained technician comes with it and runs the whole vote on site: setting up the keypads, configuring your ballot and rules, and managing every count live so you are never operating unfamiliar software in front of a full room. Whether it is a conference, an annual meeting, a board election, or a delegate assembly, the vote is handled by someone who has done it thousands of times.
We have focused on audience response and voting, and nothing else, since 1994. That is more than 30 years and 10,000+ events, with roughly 14,000 keypads in inventory, so we can equip a meeting of almost any size and still bring backups.
What a Voting System Rental Includes
Every Padgett voting system rental is a complete, staffed package:
- Wireless voting keypads for every participant, tested before the doors open
- A base station and voting software, configured for your motions, ballots, and rules
- A trained technician on site to run the vote and handle anything that comes up
- Live, on-screen results plus a stored record for your minutes
- Backup keypads and receivers, standard on every event
The difference between a vote that runs smoothly and one that stalls is rarely the equipment. It is having someone in the room who runs these systems for a living. See our on-site management approach.
A Conference Voting System, Run for You
For conferences and annual meetings, a Padgett conference voting system turns a passive session into a room that decides. Delegates vote on resolutions, elect officers, and answer live polls, all on a handheld keypad, with results on screen in seconds. The system runs on a secure, dedicated radio channel rather than venue Wi-Fi, so there is no app to install and nothing to drop mid-session. It supports anonymous ballots, weighted and proxy voting, and login when a vote needs to tie results to specific delegates. When your meeting runs by the book, we pair the voting system with staffed speaker-queue management (TalkTrack) so the chair can manage the floor and the vote together.
Meeting Voting Systems for Formal Business Sessions
Association and membership meeting voting systems have to stand up to scrutiny: the count has to be right, and it has to be defensible. Padgett meeting voting systems capture anonymous, auditable results you can report on the spot and record in your minutes, which makes them well suited to bylaw votes, board elections, and any business session run under Robert’s Rules of Order. What It Costs to Rent
Voting system rental pricing depends on how many participants you need to equip, how many days you need the system, and how much on-site support your meeting calls for. Because every meeting is different, we quote each one individually and itemize it, so you see exactly what you are paying for with no hidden costs. Tell us your date, your headcount, and your agenda, and we will come back with a clear price built around your event.
Voting Systems We’ve Run
A national church denomination’s triennial convention
A national church body holds a triennial convention where more than 3,000 voting delegates debate and adopt resolutions and elect officers, all under Robert’s Rules of Order. The hard part of a meeting like this is not the vote, it is managing who speaks. We set up staffed speaker-queue stations at each floor microphone so the chair could recognize delegates in order, alternate for and against a motion, and keep the debate moving without anyone policing the microphones. Voting ran on the keypads with no wireless interference across every bylaw and election ballot. The chair was able to run the floor smoothly, and the business sessions moved faster than in past years.
