We Run Your Voting So You Don’t Have To
A board chair shouldn’t have to troubleshoot a microphone. A convention organizer shouldn’t be the one syncing keypads to a receiver. When the agenda is tight and the votes have to count, the people running the room need to focus on the meeting — not on whether the technology is working.
That’s the difference between renting equipment and hiring a managed service. Padgett brings the keypads, the receivers, the laptops, the cables, and — most importantly — the technicians who have done this hundreds of times before.
Planning and Preparation
Every meeting is different. Some run by Robert’s Rules to the letter; others are more practical. Some have 50 people, some have 5,000. The setup that fits a board retreat doesn’t fit a delegate convention.
Before the day of the event, our team works with you to understand:
- The agenda and voting procedures
- Audience size and seating layout
- Venue access, power, and AV constraints
- The role of meeting leadership and how decisions get called
- Anything unusual about the meeting that affects how the system needs to behave
By the time we arrive on site, the system is already configured around your meeting — not a generic template.
What Happens in the Room
Our technicians arrive early. We unpack and test the equipment, distribute keypads, run a sound check on the receivers, and walk through the voting flow with the chair or moderator before doors open.
Once the meeting starts, we stay. During every vote, we operate the system, watch the displays, troubleshoot anything unexpected, and manage the data so the meeting can keep moving. If a keypad battery dies mid-session, we swap it without anyone noticing. If the order of votes changes on the floor, we adapt.
We don’t leave until the last result is recorded and the data is exported.
Results You Can Stand Behind
Results display on screen the moment voting closes. Vote tallies, percentages, and pass/fail outcomes are visible to everyone in the room — no waiting, no recounts, no ambiguity.
After the meeting, you receive:
- Full vote-by-vote records
- Summary reports formatted for the official minutes
- Electronic data files for your archives
For organizations whose decisions can be challenged later, this matters. The record is clean, time-stamped, and defensible.
Plan Your Next Meeting with Confidence
Tell us about your event — date, audience size, voting rules, the kind of decisions you’re making. We’ll come back with a recommendation built around your meeting, not a one-size-fits-all package.
